Browser - Register: Processing a Credit Card Payment

Taking a credit or debit card payment from the Payment Mode screen

Overview

Selecting a credit or debit card tender on the Payment Mode screen (opened from PAY — see Browser - Register: Checkout and Payment Processing) opens a card entry screen titled Enter Card Information. From there you either use the connected card reader or enter the card manually.

NOTE: this article covers the Credit Card Machine/Manual Credit Card Entry and Credit Card Machine/Manual Debit Card Entry tenders — the card-processing setup confirmed for this facility. Your course's exact tender list and card screen depend on which card processor is configured; see Browser - Register: Payment Methods for the full tender list.

What it looks like

A window titled Enter Card Information, which starts on a waiting-for-reader view:

  • A blank input area waiting for a swipe from the connected card reader
  • Use Reader, Cancel, and Manual buttons — only Manual is active until a card is

swiped

Clicking Manual switches the window to a manual-entry view:

  • A Cardholder Name field
  • A secure card-number entry area (card number, expiration, CVV)
  • Pay, Use Reader, Cancel, and Swipe buttons
Steps

Step 1: On the Payment Mode screen, select Credit Card Machine/Manual Credit Card Entry (or the

Debit equivalent).

Step 1: Click Ok. The Enter Card Information window opens, waiting for the card reader.

Step 2: To use the physical reader: swipe the card. The system reads the card automatically and

moves on to processing — no further typing needed.

Step 1: To enter the card manually instead:

Step 2: Click Manual.

Step 3: Type the customer's name into Cardholder Name.

Step 4: Enter the card number, expiration, and CVV in the card entry area.

Step 5: Click Pay.

Step 6: While the payment is processing, the window shows a status message (for example, that the

request was sent and a response is being awaited). Wait for it to resolve — don't click away.

Step 1: If the payment is approved, the window closes and the sale finishes automatically — no

separate confirmation click needed.

Step 1: If the payment is declined or the card data is invalid, the window shows an error message

(for example, an invalid-card message) and re-enables Cancel so you can back out and try again, or try a different tender.

Step 1: To back out at any point, click Cancel. Nothing is charged.

Common Questions

Do I have to swipe the card, or can I type it in?

Both work. Swiping is faster and is what the screen waits for by default; click Manual if you need to key the card in instead (a chip failure, a phone-in order, etc.).

What happens after I click Pay or the card is swiped?

The screen shows a brief processing message, then either closes on its own (payment approved and the sale is complete) or shows an error you can act on (declined, invalid card, etc.).

Some facilities charge a convenience fee on card payments — is that on this screen?

Whether a convenience fee applies is set per facility and per card type (credit vs. debit) before you ever reach this screen — it isn't something you toggle here. If your course has it configured, it's reflected in the amount already shown on Payment Mode before you select the tender.

Why don't I see "Credit Card Machine/Manual Credit Card Entry" as an option?

Card tenders are configured per facility, same as every other payment method — see Browser - Register: Payment Methods. If your course uses a different card processor, the screen you see after selecting a card tender may look different from the one described here; contact Club Caddie Support for the specific workflow.
