Browser - Reports : Finding and Running Reports

Where the reports live, how to run one, and how to get it into Excel

Every number your operation produces ends up in the Reports module - sales, tax, tee sheet activity, staff hours, end-of-day reconciliation. This article covers what every report has in common: where to find them, how to run one, and how to get the results out. The articles for each report family cover what makes their reports different.

Finding the Reports module

Select Reports in the navigation on the left. The module opens with a list of reports down its own left side - one entry per report, in a set order, with the sales and operations reports you use most sitting alongside more specialised ones. Scroll the list to find the one you want; the list is long, and roughly alphabetical.

Select a report's name to open it. The module remembers where you were - next time you open Reports, it comes back to the last report you had open.

You can tuck the report list out of the way with the arrow at the bottom of the list, which is useful on a smaller screen once you're in the report you want. Hover over the collapsed list to see each entry's name.

Why your list may look different from a colleague's

The report list is built from your role's permissions - each report appears only if it's switched on for the role you sign in with. If a report you need isn't in your list, ask whoever manages your roles to open Settings, go to Manage Roles, choose Edit Permissions in the role's ... menu, expand the Reports row, and switch that report on. Then sign out and back in - your list is built when you log in, so a permission granted mid-session appears at your next sign-in.

Depending on your facility's setup, you may also see a Looper AI entry at the top of the list - an assistant you can ask about your data in plain English. It sits alongside the reports and doesn't change how any of them run, though it may be the first thing you see when you open the module.

Running a report

Many reports follow one of two common patterns.

Reports with a filter row open with a row of controls across the top - a date or date-range picker, dropdowns that start on All, and often a free-text search box. Set the filters you want, then select the Search button. One thing to know up front: changing a filter on its own doesn't re-run the report - the results update when you select Search. Clear puts the filters back to where they started. Results appear as a table below the filter row, often grouped with subtotal rows.

Reports with a Generate Report button open with a pair of date pickers and a Generate Report button, and draw the results in an embedded report viewer with its own toolbar - page controls, zoom, a save/export menu and print. Some of these run themselves as soon as they open, showing today by default; set the dates you want and select Generate Report to rebuild.

A few reports use their own layout - a dashboard of charts and summary tiles, for example, and some filter-row screens draw their results in the embedded viewer rather than a table. When a screen doesn't match either description above, its own article covers the differences.

Either way, a report that opens empty usually isn't a problem - most reports open on today's date, so there's nothing to show until the day has data. Widen the date range first.

Getting a report out

Filter-row reports export from the Excel icon below the table - it downloads whatever your current filters are showing. A few reports also offer bulk export options next to it.

Viewer reports export from the viewer's own toolbar - use its save/export menu and pick the format you want. If a filter-row screen has no table and no Excel icon below it, it's rendering in the viewer - export from the viewer's toolbar instead.

Exported files are built for spreadsheet use, so the column layout can differ a little from the screen. Check the headers the first time you use an export in another system.

Common Questions

Where are the reports in the browser app?

Select Reports in the navigation on the left. The report list runs down the module's own left side - scroll it to find the report you want.

A report I use on the desktop version isn't in my browser list.

Check permissions first: the browser list is per-role, so the report may simply be switched off for your role. The browser and desktop versions of Club Caddie also carry slightly different report sets, so if turning the permission on doesn't surface it, ask support whether that report is available in the browser app yet.

Do I need to click Search after changing a filter?

Yes - select Search (or Generate Report). Filter and date controls don't re-run a report on their own.

The report is empty.

Most reports open on today. Widen the date range, then run the report again.

Can I get this into Excel?

Yes - the Excel icon below the table on filter-row reports, or the viewer toolbar's export menu on viewer reports.
