Browser - Reports : Sales Tax Detail Report
Filter sales tax by terminal, department or category and export to Excel
The Sales Tax Detail Report breaks your sales tax down to the item level - what sold, what tax was charged, at what rate, and what wasn't taxed at all. It's the report you pull at month end when you need to file, or when a number doesn't match and you need to find out why.
If you run more than one register or location, the terminal filters are the part that matters most. They let you pull tax for the pro shop separately from the restaurant, instead of one combined figure you then have to unpick by hand.
Running the report
Step 1 - Open Reports from the navigation on the left, then select Sales Tax Detail Report.
You may need to scroll the report list to find it. Once it opens, the heading at the top of the screen reads SALES TAX DETAIL - same report, just a shorter title.
Step 2 - Set your date range using the date picker in the filter row.
Step 3 - Narrow it down with the filters you need. They sit in a row across the top, left to right, and each one starts on All:
- the first two are terminal filters - a location group (your pro shop, your restaurant), then one
specific register inside it
- the next three narrow by how your items are organised - department, sub-department and category
- the Search box takes free text, for when you're chasing one item
- Include sub department pulls sub-department rows into the results, and starts switched on
The two terminal filters work together. Pick the location first and the register list narrows to the ones in it.
Step 4 - Select Search. Clear starts you over - the dropdowns go back to All and the date range goes back to today.
Step 5 - Read down the table. Each row gives you the SKU and item description, quantity, amount, the tax charged and the rate, service charge and its tax, the non-taxable quantity and amount, and the total.
Rows are grouped by department, sub-department and category, so you'll see subtotal rows between the item rows rather than one flat list.
Note: the Browser version of this report breaks service charge out into its own columns - Service Charge, Service Charge %, Service Charge Tax and Service Charge Tax %. The desktop version of the report doesn't show those four. If you're comparing a browser export with a desktop one, expect the column lists to differ, and compare like-for-like columns rather than assuming the two layouts line up.
Exporting to Excel
Select the Excel icon below the table - its tooltip reads Export Excel. The file opens with your club name, address, the date range and a generated-at timestamp at the top, so it makes sense on its own when you hand it to an accountant. The exported file uses its own column layout, built for spreadsheet use: two internal identifier columns (Type and Title) added at the front, and the item identified by its description rather than SKU. Check the headers before pasting into anything that expects a fixed format, especially if a workflow depends on SKU.
Common Questions
I filtered by terminal and the total dropped. Is that right?
Yes - that's the filter doing its job. The unfiltered report combines every terminal and location. Filtering to one register shows only that register's tax.
What's the difference between Terminal Location and Terminal?
Terminal Location is the group - your pro shop, your restaurant. Terminal is one individual register inside it. Filter by location for a venue-level figure, by terminal to chase one drawer.
Where are terminals set up?
In Settings -> Terminal Management. If a terminal is missing from the dropdown, that's where to look first.
Do filters apply automatically?
No - select Search after choosing your filters. Changing a dropdown on its own doesn't re-run the report.
Can I get this into a spreadsheet?
Yes - the Excel icon below the table exports everything currently filtered.
