# Browser - Settings: Set Up Dynamic Pricing for Tee Times

## Raise or lower tee time rates automatically based on how full your tee sheet is, how far out the tee time is, and the weather

##### **Overview**

Dynamic Pricing calculates a price for your tee time rates, up or down from the base rate. It looks at how full the tee sheet is (utilization), how many days out the tee time is, the time of day, and the weather forecast. You set it up in a pricing rule: a grid of percentages where a negative number is a discount and a positive number is a premium. That way a slow afternoon can carry a discount and a busy morning a premium. For example, a **-10** in the cell for a slow day one to six days out takes a **$20.00** rate to **$18.00**. Floors and ceilings keep the price within limits you set, weather adjustments add a club-wide change, and the Simulator and Calendar let you check the price for a rate and date.

##### **Before you start**

- Your tee time rates are already set up. Dynamic Pricing adjusts existing rack rates and member rates; it does not create them.
- If you don't see the **Dynamic Pricing** tab in **Tee Sheet Settings**, contact Club Caddie Support.
- Weather adjustments need your club's location. The screen notes: **Club Lat/Long setup is required for weather-based pricing.** If you aren't sure your location is set up, contact Club Caddie Support.

##### **Create a pricing rule and assign rates**

1. Go to **Settings**, then **Tee Sheet Settings**. Open the **Dynamic Pricing** tab, then **Pricing Matrix**.

2. Click **New Rule**, enter a **Rule name**, and click **Save**. The new rule appears in **Pricing Rules** with 0 rates and **Enabled** off.
3. Click the rule's name to select it.
4. Under **Rate Assignment**, choose rates from **Rack Rates**, **Member Rates**, or both, then click **Assign Selected** under that list. **Assigned to this rule** shows the rates assigned to the rule.

##### **Build the pricing matrix**

A new rule starts with one column (**All Days**, 0 to 99 days), one row (**All**, 0 to 110% utilization) and one time tier (**All Day**). Add the tiers you want, then fill in the percentages.

1. With the rule selected, scroll to **Pricing Matrix** for that rule.
2. To price mornings and afternoons differently, click **Add Time Tier**, enter a **Time tier name** with a start and end time, and click **Save**. Time tiers are shared across every days out column.
3. To add a utilization level, click **Utilization Tier**, enter a **Tier name**, **Min %** and **Max %**, and click **Save**. Each tier is a row, for example a slow tier of 0% to 29% full.
4. To add a booking window, click **Days-Out Column**, enter a **Column label**, **Min days** and **Max days**, and click **Save**. Each window is a column, for example same day (0 to 0 days) or one to six days out.
5. Enter a percentage in each cell. Use a negative number for a discount and a positive number for a premium. Leave a cell at 0 for no change. Your entry saves when you leave the cell.

##### **Set floors and ceilings**

1. Open the **Configuration** sub-tab. Under **Guardrails & Base Rates**, choose your rule from the dropdown.
2. Find the rate. Its **Base Rate ($)** shows the starting price.
3. For **Floor**, choose **$** and enter the lowest price this rate can go to.
4. For **Ceiling**, choose **$** and enter the highest price this rate can go to.
5. Click **Save** on that rate's row. Repeat for each rate.

##### **Set weather adjustments**

Weather adjustments are club-wide: they apply across your rules, not to one rule.

1. On the **Configuration** sub-tab, scroll to **Weather Adjustments (Club-wide)**.
2. For each condition, choose **%** or **$** under **Type** and enter an **Adjustment**. A negative number is a discount and a positive number is a premium. Each condition shows its definition on screen, for example **Rain** is at least 0.01 inches of rain forecast for the day but less than 0.30 inches.
3. For **Extreme Heat** and **Extreme Cold**, enter the temperature in **Threshold (°F)** that triggers the adjustment.
4. Click **Save** on each row you change.

##### **Turn on the rule**

1. Go back to the **Pricing Matrix** sub-tab.
2. In **Pricing Rules**, check **Enabled** for your rule. Assign at least one rate before you turn the rule on.

##### **Preview prices**

1. Open the **Simulator** sub-tab. Choose a **Rate**, a **Tee date** and a **Tee time**. To test a busier or slower day, check **Override utilisation** and enter a percentage. To test weather, pick a condition in **Weather condition (optional)**, or leave **Use forecast**.
2. Click **Simulate**. The **Price Breakdown** shows the base rate, utilization, matrix adjustment, weather adjustment and **Final price**.

3. To see prices across a month, open the **Calendar** sub-tab. Choose a **Rule** and the **Rate(s)** to show. Each day shows the price for the selected rate. Click a day to see its weather, base rate, adjustment and price.

##### **Common Questions**

**What do the numbers in the matrix mean?**

Each number is a percentage change to the rate's base price. A negative number is a discount and a positive number is a premium. On a **$20.00** rate, **-20** gives **$16.00**, **-10** gives **$18.00**, and **0** leaves it at **$20.00**.

**How do I know which weather condition applies?**

Each condition in **Weather Adjustments (Club-wide)** shows its definition on screen. **Clear** is under 0.01 inches of rain and cloud cover under 60%. **Cloudy** is cloud cover of 60% or more with little to no rain. **Rain** is at least 0.01 inches but less than 0.30 inches. **Storm** is 0.30 inches or more, or a thunderstorm or snow condition reported by the weather provider. **Extreme Heat** and **Extreme Cold** apply when the temperature reaches the threshold you set.

**What happens if I delete a rule?**

The confirmation message says the rule's matrix, rate assignments and guardrails will be removed, and its prices revert to base rates at the next refresh cycle.

**What happens when the price falls below the floor?**

The final price stops at the floor. In the Simulator, a $20.00 rate with a -10% matrix adjustment and a **$19** floor shows **Raw computed price** $18.00, **Floor guardrail applied** $19.00 and **Final price** $19.00. A ceiling works the same way from above.
