Browser - Vouchers : Understanding Voucher Types

What each voucher tab is for, and which one to check

Club Caddie tracks several kinds of vouchers, and each has its own tab in the Vouchers module. This article explains what each type is for and where it comes from, so you know which tab to check when a customer hands you a card, a credit slip, or a rain check. This article applies to the Browser application.

The Voucher Types

Open Vouchers in the left navigation. The tabs on the left are:

Gift Vouchers — value cards your facility sells: gift cards, scrip, range cards, and other prepaid credit. Created and sold at the Register (Register → Tools → Gift).

Refund Vouchers — store credit issued instead of cash back. Created at the Register (Register → Tools → Refund Vouchers) when you refund a customer as credit rather than money.

Rain Check Vouchers — credits issued to golfers when weather cuts a round short. Issued from the Tee Sheet workflow.

Credit Book Vouchers — bulk funds held in a holding account and distributed as individual vouchers. Common for tournament prizes, corporate accounts, and member programs.

Punchcards — count-based passes (for example, a 10-round card). Tracked by punches remaining instead of a dollar balance.

Awards — award credit the system builds up for a customer automatically from their purchases. Each customer has one award voucher that grows as credits are earned; its ledger shows the order each credit came from.

Archived Vouchers — where expired or archived vouchers from all types end up. Use UnArchive on a voucher's Action menu to bring one back.

Voucher Types vs. Club Voucher Types

The tabs above are separate from Club Voucher Types — the facility-defined categories that appear as selectable chips on the Gift Vouchers tab (for example: Gift Card, Scrip, Range Card, Rounds Card, Lesson Pass, F&B Credit, Prepaid Carts). Club Voucher Types are configured by your admin under Settings → Register Settings → Club Voucher Type, where each type can carry its own department rules and expiration presets.

Notes
  • Every type shares the same tools: search by customer name or voucher number, and the ⋮ Action menu for Edit, View, and Usage.
  • Department rules set on a Club Voucher Type apply only to vouchers sold after the rule is saved — they are not retroactive to vouchers already in circulation.
