How to manage account statements, adjustments, and member settings
Follow these steps to view ad hoc statements, make account adjustments, manage invoices, add sub-members, and configure member settings in the portal.
- Navigate to the member's account by searching for the member in the database and opening their account record.
- Set your desired begin and end dates in the search window, then click Account Statement to download a PDF statement covering that date range. The PDF includes detailed transaction information such as reference numbers, order IDs, balances, late fees, tips, and purchased items.
- To make adjustments to the account, click Make Adjustment. This allows you to credit an account and debit a specific chart of account, such as food sales. If the adjustment relates to a prior month and invoice, check the appropriate box to apply it as a payment against the previous invoice.
- The Invoices section displays opening and closing balances, start and end dates, membership ID, club identification number, and payment due date for each invoice period.
- Sub-member accounts can be added by entering their information directly or finding them as an existing customer in the database.
- The Sitter feature allows you to tag sitter roles for a family, identifying them as individuals in a caregiving role who may not be permitted to charge the account but can accompany children to the pool.
- In the Settings section, you can set the member portal online profile password, control charge account privileges, set charge account limits, hide members from the directory, exempt them from late fees, and require physical invoices.
Step 2: The statement will adhere to the search window of begin and end dates specified by the user.
