# Register : Creating a Credit Book Holding Account

## Set up and name a Holding Account so it's ready to take deposits for an event, league or season.

##### **Overview**

Setting up a Holding Account is a one-time job you do before anyone pays into it. You're creating an empty credit book that holds the pot for one event, league, or season. Once it exists, money goes in with deposits and comes out when you pay your winners.

##### **Before you start**

Pick the name first. It's the label you and your staff will look for every time you take a deposit or pay out a winner, so specific beats generic. "2026 Member-Guest Prize Fund" is a lot easier to find six weeks from now than "Prize Fund."

Get it right the first time. Each row in the Holding Account list offers **View**, **Delete** and **Usage**, and there's no option to rename an account once it exists.

##### **Create the account**

1. Go to **VOUCHERS** in the top navigation.
2. Select **Credit Book Vouchers** in the left sidebar.
3. Click the **Holding Account** tab. You'll see **CREDIT BOOK HOLDING ACCOUNT VOUCHERS** and a list of every existing account with its balance.
4. Click **ADD** in the top right. The **GENERATE CREDIT VOUCHER** window opens.

5. Fill in the account: 
     - **Voucher Type** is already locked to `CreditBookHoldingAccount`. Nothing to change here.
     - **Club Voucher Type**: optional. If your facility uses these, pick one before you assign departments, because changing it resets the department lists.
     - **Add Customer**: optional. Most Holding Accounts belong to the event rather than one person, so they're usually left without a customer. You can attach one if it helps.
     - **Voucher Amount**: leave it at `0.00`. Money goes in later through a deposit.
     - **Expiration Dates**: the start date defaults to today. The end date shows **No Expiry Date** unless your Credit books voucher type has an expiration rule, in which case a date is filled in. Clear or change it if the pot shouldn't expire then.
     - **Notes**: worth using. "Thursday night league, summer 2026" saves someone a phone call later.
6. Name the account. There's no account-name field (**Customer Name** only shows an attached customer). The name is the **Voucher No**: change its dropdown from **Auto** to **Specified**, then type your name into the **Specify Number Here** box. If you leave it on **Auto**, you'll get a code like `A4746` instead.

7. Move any departments you want from **Available Departments** to **Assigned Departments** with the arrow button.
8. Click **ADD**. With a **Voucher Amount** of `0.00`, the account is saved and shows up in the Holding Account list, ready for deposits.

##### **Common Questions**

**What happens if I leave Voucher No on Auto?**

You get a sequential code like `A4746`. It works, but a name is much easier to recognize later than a code, and there's no way to rename the account afterwards. Set the name now, before money starts going in.

**Do these departments control where winners can spend their payout?**

No. When you pay winners out, their vouchers get the departments assigned to the **Credit books** voucher type in your club's voucher settings, not the ones on this form.

**Should I set a starting balance?**

**Do I need one account per event?**

It's worth the extra minute. One account per event keeps the balance meaningful and the usage history easy to read.
