Tee Sheet: Tee Time Holds — Preventing Double-Bookings Across Every Booking Channel

Hold a tee time for five minutes while a golfer finishes booking it

Overview

When two golfers click the same tee time at the same moment — from your booking website, the mobile app, a group reservation, or the front desk — Club Caddie holds that slot for whoever is actively booking it. Nobody else can take the slot until that person finishes or walks away.

The hold lasts 5 minutes, then releases on its own.

Tee Time Holds works across Desktop POS, Browser POS, the mobile app, and your booking website. Lottery requests are the one exception — they never create holds.

What a Held Slot Looks Like

On the tee sheet, a held slot shows a gray bar across the row reading Hold with an hourglass and a live countdown — for example, Hold ⌛ 04:48. It clears the moment the other person finishes or abandons.

A held slot is not a booking. Don't treat it as one and don't book over it — it will clear on its own.

In the booking window, the staff member who clicked the slot sees an orange banner counting down their own hold:

When a Hold Releases

A hold ends as soon as the person booking does any of these — no action needed from your team:

  • Clicks Abandon Booking
  • Uses the browser back button, reloads, or closes the tab or browser
  • Has a group reservation request declined
  • Runs out the 5-minute timer
Step 1: Turn On Tee Time Holds

Go to Settings → Tee Sheet Settings, open the Course TeeSheet Setting tab, select your course, and check Enable Tee Time Holds.

This is a per-course setting. If you run 27, 36, or 54 holes, repeat it for every course — turning it on at one course does not carry to the others.

Step 2: Set Maximum Holds per User

Maximum Holds per user at a time caps how many slots one person can hold at once — this is what stops a golfer opening five tabs and sitting on five tee times.

  • Accepts 1 to 10. Not a required field.
  • Leave it blank and the system uses 4. Blank does not mean unlimited.
  • Most courses start at 1 and raise it only if they have a reason to.

Holds are counted per person across sessions — different browsers for a golfer, different terminals for a staff member. At the limit, they see a message and can't start another hold until one clears.

What to Tell Your Team

Front desk, register, and starter sheet staff need three things:

  • A gray Hold bar is someone mid-booking, not an error and not a booking. It clears itself.
  • Holds apply when editing a booking too. Moving a tee time into a slot someone else is holding is blocked — wait, or pick another time. This covers tee sheet edits, My Tee Times, Multiplayer Booking, and Group Reservation changes.
  • If a golfer says they can't book a slot that looks open, ask whether they have another tab or app session still holding it.
Common Questions

Does it work on the mobile app?

Yes. 

What if someone's session dies mid-booking?

The 5-minute timer still runs, so the slot frees itself within five minutes of the original click.

Will it turn on automatically when we upgrade?

No — check Enable Tee Time Holds yourself on the Course TeeSheet Setting tab, for every course.

Do lottery requests create holds?

No. Lottery requests are exempt, and holds elsewhere don't interfere with them.

Can we turn holds off during a busy day?

Yes. Unchecking Enable Tee Time Holds makes the feature dormant for that course until you turn it back on.

Can we change the 5-minute hold length?

Not today — the hold length is fixed at 5 minutes.
