Understanding Rates in Club Caddie (Rack Rates, Class Rates, Guest Rates, and Scheduling)
Club Caddie uses rates to determine what customers pay when booking tee times and activities. Rates can be configured as Rack Rates (typically public/default pricing) and Class Rates (typically member-based pricing). You can also create Guest Rates for guests tied to specific membership classes, and you can schedule seasonal/holiday pricing using the rate scheduler.
1) Rate Types in Club Caddie
Rack Rates (typically public/default)
Rack Rates are generally used for public/non-member pricing and are created in Rack Rate Management (for tee times) or Activity Rack Rate Management (for activities). They define what appears by default, based on rules like day/time/date range, booking windows, and display order.

Class Rates are typically used for members, where pricing depends on the member’s Class Type (membership class). Class rates can be controlled by day/time/date range, booking windows, and more.

Guest Rates (rates for a member’s guests)
Guest Rates let you charge a specific rate to non-members who are associated with specific membership classes (for example, “Platinum Member Guest Rate”). One guest rate can be assigned to multiple membership classes.
Important note: Guest rates won’t appear online or in POS unless the user is part of the relevant membership class.

Both rack and class rates are controlled by “availability rules,” including:

4) What Customers See During Booking (Titles, Order, and Descriptions)
Rate Titles (what shows in booking)
For Class Rates, you can set a Title that is what members/customers see in the booking flow.

Display Order (what appears first)
Rates appear in the order defined by Display Sequence (lower numbers appear earlier). This applies to tee time rack rates and helps control what customers/staff see first.

5) Overrides: When One Rate Takes Priority Over Others
Override All RackRates (holiday/public priority behavior)
In Rack Rate Management, enabling Override All RackRates makes that rack rate the primary/first option during its booking window and date range (commonly used for holiday rates).

6) Scheduling Rates by Season or Time of Year (Rack Rate Scheduler)
Club Caddie supports a two-layer approach:
Layer 1 — The Initial Rate
When you create a rack or class rate, you define the “base” availability and pricing (date/time/day rules). This is the Initial Rate.
Layer 2 — The Rate Scheduler
The scheduler lets you apply seasonal, peak/off-peak, or holiday pricing on top of an existing rate. When a schedule exists for a specific date/time, the scheduled price takes priority over the initial rate’s price for that period.
This approach works for both rack rates and class rates.

7) Assigning a Class Rate to Multiple Classes (and why it matters)
Instead of creating separate class rates for every membership tier, you can:

give a class rate a member-facing Title

apply multiple Classes to the same class rate
This reduces setup time and prevents errors across multiple membership tiers.

8) Activity-Specific Rate Features (Occupancy and Maximum Usage)
Activity Class Rates include a couple of controls you may not use for tee times:

Occupancy (%): Defines when a class rate becomes available based on the percent of slots reserved.

Example: if set to 50%, the activity rate won’t be available until 50% of slots are booked.

Setting 100% generally means it’s always available.

Maximum Usage: Limits how many times that class rate can be used (across all users).

9) Changing a Rate After Check-In (Register)
If a tee time is already checked in, staff can adjust the rate from the register by selecting a different rate from the dropdown list.

10) Troubleshooting: When a Class Rate Isn’t Showing Up
If a member rate (class rate) isn’t populating on the tee sheet or online:
